How I transformed a premium travel agency's digital infrastructure — without stopping its operations

A premium travel agency works on details. A badly booked transfer, a document that can't be found at the right moment, an email that ends up in the wrong client's spam: in high-end tourism, these things carry enormous weight.

When they contacted me, it was the classic situation of a business that grew fast without ever stopping to fix the foundations: email on Aruba, documents scattered across local PCs, no shared address book, personal calendars not in sync, slow computers and an internal network that did its job — more or less.

It worked. But it cost time, attention and one mistake too many.

WHAT WE DID

The first step was email and documents. We migrated everything from Aruba to Google Workspace: email, contacts, archives. Not a bulk migration and done — every document was moved to Google Drive with permissions set person by person. Who sees what, who can edit what, who has read-only access. In an agency that handles data on international clients and suppliers, this isn't bureaucracy: it's order that protects the work.

We then created a single shared address book for the whole team and synced calendars, so anyone out of the office or working remotely always has the same view as everyone else.

On the hardware side, I optimised the existing computers — the ones that were slowing down for no real technical reason — and sourced and configured a new machine for the more demanding work.
Finally, the internal network was redesigned to be more stable and suited to the number of connected devices.

THE RESULT

Less time wasted looking for documents. Less risk of sharing the wrong version of a file. Fewer "didn't you get the email?". Smoother day-to-day work — which in an agency like this translates directly into quality the client can feel.

A THOUGHT

Premium travel agencies sell seamless experiences. It makes sense for their office to work the same way.

Sometimes the most important IT project isn't the most visible one. It's the one that, once finished, nobody notices any more — because everything simply works.
